The use of any format of business letter, organize your letter as follows: . state why you are writing and the basis of your request(first paragraph); . give the essential elements of accomplishing the purpose of the letter,that is to say, the information that the receiver needs to comply with the request,the specific documents required (if there are many items that are in the list, use bullets),account names or numbers, of the specific contracts, financial reports, orany other critical information (second paragraph); . provide your own contact information to ensure that therecipient can easily get to you and that the recipient must sendthe information. Include any deadlines that may be applicable.ALWAYS close an application by thanking the recipient for their time andtrouble (third paragraph). Under this scheme, to avoid the ambiguity in your request, andhopefully to achieve the purpose of the letter.
